If we stop
If we stop, you keep your packets and get your files back
In short: at least 30 days' notice, every open packet finished or handed back, your files returned or erased with a signed note, and a refund for anything paid and not delivered.
i.Notice
You get at least 30 days' notice
We give at least 30 days' written notice, by e-mail and phone, before the service ends. If a security problem or the law forces a faster stop, we tell you the same day and say why.
ii.Open work
Open work is finished or handed back
We keep preparing packets during the notice period. New requests close 5 business days before the end date. Every complete request we receive before then is finished and returned, aiming for our usual 2 business days. If we can't finish one, we hand back its files the same business day, tell you in writing, and don't charge for it.
iii.Your files
Your files are returned, then erased
Within 30 days after the end, we return any packets you ask for. Then we erase all your files, including backups, which expire within 7 more days. You get a signed note saying we did. We keep only counts with no patient details, invoices and the signed agreements.
iv.Money
You never pay for work you don't get
No new month is billed after we give notice. For a month you already paid, we refund each included packet not delivered, at your plan's per-packet rate, plus the sales tax charged on it. Billing firms pay only after delivery, so nothing is paid ahead.
v.Leaving
There is no lock-in
Month to month, with no setup fee and no exit fee. Cancel by e-mail at any time. Every packet we returned is yours to keep and use. Your records stay in your own system, so we never hold your only copy.
vi.Our owner
The same plan applies if our owner can't work
If our owner can't work for more than 3 business days, we tell you, pause new requests and hand back open files, as above.
vii.A sale
A sale moves your files only with your signature
Your files move to a new owner only if you sign a new agreement with it. If you don't, this plan applies.
viii.Billing firms
Billing firms get their files back the same way
Files go back to your firm, or to a client practice if you direct it in writing. The signed note goes to your firm.
This page is a plain summary. The signed pilot terms and business associate agreement govern.
